Job Description

The Leasing Assistant will support the Leasing Manager and be responsible for managing the Hearing Life (formerly One Retail) location portfolio, specifically the management of critical lease dates for the renewal of real estate / leasing contracts. In addition, this position will be assisting in the administrative portion of managing Leases through Lease Eagle, along with re-branding efforts in contacting Landlords for necessary approvals, and any other supportive responsibilities deemed necessary to assist the Operations Department with providing the most effective and efficient service and support to the field.

Initially, the main function of this position will be to work and successfully consummate Lease renewals on expiring Leases, and this position may or may not initially focus primarily on the Accuquest locations that will be coming on board shortly. This will be completed through effective communication and by receiving approvals from the Regional Sales Directors and then finalizing discussion and negotiations with the appropriate Landlord, Listing Agent, or Property Manager to receive and review Leasing documents and then provide to the Leasing Manager so that Lease renewals can be fully executed.

Once Leases are fully executed, this position will ensure that renewed Leases are properly filed, and that the Lease Eagle and My Kitenet systems are properly and correctly updated with the appropriate information.

  • Provide support to the re-branding project by communicating with Landlords to secure approvals for signage
  • Working to ensure that the Lease Rent Payment Tracker is updated
  • Communicate with finance on appropriate payments needed on location accounts to keep current
  • Assist Leasing Manager with space searches when looking for new space to relocate an officeAssist the National Facilities Manager with critical language from Leases controlling the maintenance, repair and cost responsibilities for roofs, gutters, HVAC, landscaping, plumbing, electrical, etc.
  • Communicate with National Project Managers and reading Leases and giving feedback / guidance on building, systems, and equipment maintenance, repair and replacement
  • Working to get security deposits back from Landlords where locations are closed or terminated early
  • Spearhead management and maintenance of Keys to field Locations
  • Potentially Assist Operations team with Front Desk phone coverage for Receptionist
  • Assist with drafting of Assignment & Assumption of Lease documents for new acquisitions
  • Minimum of 3 years’ business experience, with a focus on operations, finance, or sales preferred
  • Deadline-focused individual with the ability to flourish in a fast paced environment, and the ability to shift priorities as necessary, depending on the needs of multiple, concurrent projects that the candidate will be managing
  • Strong organizational skills are paramount, as the successful candidate will manage and help produce multiple spreadsheets and project plans simultaneously to report progress on projects to other department team members
  • Candidate needs to be comfortable on the phone, as heavy phone contact is necessary with landlords, brokers, property managers, as well as internal field customers
  • Intimate knowledge of Office suite of products, with an emphasis on Excel
  • Real estate or property management background / experience is a plus, and prior negotiating skills are helpful
